Across Germany, states and municipalities are currently preparing for voluntary mass vaccination and the establishment of vaccination centers. According to the Bavarian Ministry of Health, appointment scheduling should primarily be done digitally. Cotema supports the federal government’s national vaccination strategy as a digital appointment scheduling tool and facilitates the coordination of appointments at local Corona vaccination centers. For example, in Rosenheim, with sufficient availability of vaccine, around 750 people are to be vaccinated per day. This requires smoothly functioning infrastructure and logistics. With Cotema, appointments can be booked and coordinated up to two weeks in advance.

To be able to flexibly assist various districts with our solution and to enable an orderly process, we have programmed the appointment scheduling tool to be so scalable that it can be customized for the respective district within a few days.

Since July 2021, we have had approval for both the digital test certificate and the vaccination certificate of the European Union for Cotema. Citizens can book a vaccination appointment via mobile devices or web browser and are automatically assigned to the corresponding vaccination booth within the vaccination center. There is also the option to implement a partially open registration. To initially focus appointment scheduling on vulnerable and systemically relevant groups, a code is required for vaccination appointment scheduling. These codes are generated by the local district office. The district office then distributes the generated codes to, for example, the police, fire department, or nursing homes. Furthermore, district offices can evaluate utilization through an integrated analytics tool to better plan future needs.

In addition to the core functions, we continuously develop additional Cotema features.

In the future, the local district office will be able to register doctors and give them the ability to generate appointment codes themselves. The doctor’s first name, last name, and email are entered, and the doctor receives a confirmation email with a link to the Cotema login area. The doctor sets a password and can then generate codes with one-time validity to pass on to appropriate patients. The advantage is that vulnerable groups not living in care facilities can schedule vaccination appointments through their family doctor. The code consists of numbers and letters so that it can also be communicated by phone if necessary.
